Title: Administrative Assistant Department: Field   Position Summary : The Administrative Assistant plays an important role in providing administrative support to the Vice President of Field and to help ensure smooth day-to-day operations within the Field Team.   The position includes general secretarial and administrative duties and assisting the VP.   The VP of Field Operations oversees CDF’s Field Operations (national and states), Youth Programs, Religious Action Department, and the Internship Program.   The Administrative Assistant will represent the Field Team in interdepartmental meetings as needed, and will conduct research, compile reports, assist in the creation of field resource materials, and support national organizing efforts.   Nature and Scope: CDF is an organization deeply committed to its Leave No Child Behind ® mission to ensure every child a Healthy Start , a Head Start , a Fair Start , Safe Start and a Moral Start in life and successful passage to adulthood with the help of caring families and communities. CDF educates the nation about and initiates action on the needs of children and encourages preventive investment before they get sick or into trouble, drop out of school, or suffer family breakdown.   Core Responsibilities   Manage daily operations of Vice President’s office including: handling meeting requests, coordinating daily schedule, arranging travel, screening phone calls, and providing general administrative support, including setting up of and maintaining of files and timely distribution of reports. Maintain calendar for entire field team to stay abreast of department deadlines, upcoming staff travel, events and activities. Maintenance of office supplies and daily support of the office so that it is kept in an organized manner. Channel paper flow, mail and reports for the VP. Provide occasional planning and logistical support for field events at Haley Farm (CDF retreat center in Tennessee ) and nationally in conjunction with state offices. Provide administrative support, from time-to-time, on special projects, e.g. development of field resources including toolkits, fact sheets, flyers and/or help in grassroots education and mobilization efforts.     Qualifications : Bachelor’s Degree Minimum two years work experience with emphasis on secretarial skills and administrative support Advanced knowledge of MS Word for Windows; familiarity with Excel, Powerpoint, and online calendars a plus. Must be an accurate typist. Excellent wr itten and verbal communication skills and attention to detail. Excellent grammatical, spelling, and proofreading skills. Sound knowledge of general office and administrative procedures, ability to prioritize, multi-task and meet deadlines. Must be a self-starter, capable of working independently and as a team, able to work under pressure and in a fast paced environment. Must be poised and professional and be able to deal with visitors and callers with tact and diplomacy. Ability and willingness to be a team player and to work effectively in a very fast paced environment.
